About the Role:

InsightPact is seeking a talented and motivated Program Coordinator to join our Contractor Roster on a project-by-project basis. This is a great opportunity for someone who is looking for a flexible and rewarding work arrangement.

The Program Coordinator will be responsible for executing and managing logistics in virtual, hybrid, and in-person settings. This includes managing event logistics, coordinating with clients and project staff, and ensuring that all materials and equipment are ready, available, and up to a high standard. 


The Program Coordinator will work on a project basis through fixed-term contracts and report to and receive guidance from a Program Manager leading the project.

Qualified candidates will meet the following criteria:

  • Minimum 3 years' experience in client-facing projects with tight deadlines.
  • Digital Fluency: Skilled in using Zoom, Miro, and Microsoft Office Suite, able to troubleshoot technical problems.
  • Multicultural Experience: Comfortable working with diverse cultures, understanding different perspectives.
  • Reliable Internet Connection and Work Setup: Must have a stable internet connection and suitable workspace. Able to work independently and collaboratively.
  • Language Proficiency: Strong written and spoken English skills required. Additional languages are a plus.
  • Project Management Skills: Familiarity with project management tools. Can track progress, set deadlines, and communicate with team members.
  • Organizational Skills: Effective task organization, deadline management, and time prioritization.
  • Remote Working Ability: Capable of working well independently in a remote environment.

Responsibilities:

The responsibilities of the program coordinator will vary on a project by project basis depending on the needs of the project. Some example responsibilities of a program coordinator are as follows: 

  • Logistics Management: Collaborate with the Program Manager to prepare all logistics for the program including communication with participants and speakers, organizing session materials, and reporting expenses for allocated budgets.
  • Assist in Creating Session Materials: Contribute to the development of session materials, including but not limited to session slides, virtual backgrounds, worksheets, reference guides, etc. 
  • Attend Client Meetings: Participate in client meetings and promptly respond to client needs.
  • Speaker Management: Serve as the main contact for speakers for events, assisting the Program Manager in coordinating with confirmed speakers, conducting preparatory calls.
  • Support Run of Show Updates: Update the Run of Show document in accordance with session agendas, ensuring it is comprehensive, detailed, and contains all the necessary information for smooth execution.
  • Technical Facilitation: Provide technical support during event sessions, collaborating with external contractors as necessary.
  • Utilize Project Management Tools: Use Monday.com as a project management tool to update project status and collaborate with team members.
